2. Important Notice Regarding External Platforms (ConfTool)

Our Website serves as an informational portal. We host an external platform via ConfTool for user registration and scientific paper submissions. ConfTool is a separate, third-party service and is not part of our main Website architecture.

When you navigate to ConfTool to register for an event or submit an abstract/paper, your data is processed through their system. We access this data strictly for managing conference logistics, peer review, and registrations. Any personal information you submit through ConfTool is governed exclusively by ConfTool's own privacy policy and terms of service. We are not responsible for the data practices of ConfTool or any other third-party service.

SAMYRAD does not process payments directly through this Website. All Conference registration fees are paid exclusively through official Stripe payment links published at www.samyrad.com/registration. Stripe, Inc. is aPayment Card Industry Data Security Standard (PCI-DSS) compliant third-party payment processor. SAMYRAD does not collect, view, store, or process your payment card details or financial credentials at any point. Stripe processes this information directly and exclusively in accordance with their own privacy policy.

SAMYRAD retains only payment confirmation records (amount paid, date, and registration category) for accounting and registration management purposes.

3.4 Information We Do Not Collect

We do not collect any personal information from you simply by browsing our Website. We do not collect information from children under the age of 13 (see Section 12). We do not display advertisements or use remarketing services for targeted marketing or advertising purposes.

Both providers act as data processors on our behalf and are bound by contractual data protection obligations.

Please note: participants who provide an email address in connection with Conference registration, paper submission, review assignment, sponsorship, or any other Conference-related activity will be added to the SAMYRAD mailing list and may receive future communications, including announcements of upcoming events, publication opportunities, and partner initiatives. This processing is carried out on the basis of SAMYRAD's legitimate interest in maintaining contact with its academic community. You may withdraw from this mailing list at any time by clicking the unsubscribe link in any email or by contacting info@samyrad.com. Opting out of promotional communications does not affect the receipt of essential transactional messages related to your registration or submission.

SAMYRAD Foundation and Horizonne Views S.A. de C.V., with registered address at Calle Ignacio L. Vallarta Sur #460, Centro, C.P. 64000, Monterrey, Nuevo León, México, are jointly responsible for the protection of personal data collected in connection with the SAMYRAD Conference and Website, in accordance with the Federal Law on Protection of Personal Data Held by Private Parties (LFPDPPP) of Mexico and its Regulations.

10.2 Purposes of Data Processing

- Review and publication of submitted academic works

Certain steps of the registration and payment process are handled directly by third-party platforms, including ConfTool (Germany), Stripe Inc. (USA), Cvent, Inc. (USA), and Google LLC (USA). When interacting with these platforms, participants are subject to their respective privacy policies. SAMYRAD does not control and is not responsible for how these third parties process personal data.

10.5 Changes to this Aviso de Privacidad

Any changes to the purposes of processing or the categories of data collected will be communicated via the Website at www.samyrad.com/privacy-policy. Continued use of our services following notification constitutes acceptance of the updated notice.

11. Notice for California Residents

SAMYRAD does not sell personal information. SAMYRAD does not use personal information for cross-context behavioral advertising.

Regarding Do Not Track (DNT) signals: because there is no industry-wide consensus on DNT standards, our Website does not currently alter its data collection practices upon detecting a browser DNT signal. You may opt out of Google Analytics tracking as described in Section 5.

12. Children's Privacy (COPPA)

The SAMYRAD Conference is an academic event intended for researchers, educators, professionals, and university students. Participation requires that individuals are at least 16 years of age, in accordance with GDPR Article 8 and applicable national laws governing minors' consent to data processing.

We do not knowingly collect personal information from individuals under the age of 16. If we discover that a person under 16 has provided us with personal information, we will delete it promptly from our records.
